Move in, move out and periodic

Move in inspection

The move in inspection is the baseline every later dispute gets measured against. Get it thin, and the move out comparison has nothing to stand on.

Who it is for
Property managers, landlords and tenants at the start of a tenancy.
When you run it
Before keys change hands, or within the first days of occupancy.
What you get
A timestamped, photo-backed condition record the move out is compared against.

Why the move in inspection decides the move out

A thorough move in inspection puts the property manager and the tenant on the same page about condition before anyone has a reason to argue about it. That is worth more than it sounds. It establishes rapport, it sets the standard of upkeep you expect, and it starts the tenancy as an accountable relationship rather than an adversarial one.

It matters just as much from the other side of the lease. For a tenant, a detailed move in record is the single most effective thing they can do to protect their security deposit, short of looking after the place. Every deduction proposed at move out is argued against this record. If the baseline is vague, so is the outcome.

How the guided template works

zInspector's standard Move In template and its tenant-completed counterpart walk the user through the property exactly as the property manager defined it. On a phone or a tablet, room by room, yard by yard, detail by detail. Nobody has to remember what to look at.

  1. 01Define the property onceRooms, yards and systems are set up a single time. Every inspection from then on follows that structure, so records stay comparable.
  2. 02Walk it guidedThe template moves through each point of inspection in order, prompting for a condition and for evidence where it matters.
  3. 03Capture real evidenceThe in-app camera handles stills; short video clips cover anything involving sound or movement. Notes attach to the specific detail, not the whole report.
  4. 04Sign and storeCirculate for remote signature and the completed record lands in the property Timeline, ready to reference at move out.

The side-by-side format that holds up

When the lease ends, zInspector generates a complete side-by-side Move In / Move Out inspection. Move in conditions sit next to move out conditions, photo against photo, so what changed during tenancy is obvious without anybody having to argue it into existence.

This is the format preferred by the California Association of Realtors and by most people who have had to defend a deduction. It turns a security deposit conversation into a document review, which is where you want it.

Common questions

When should a move in inspection be completed?

At or immediately before handover is ideal. If the tenant is completing it themselves, within the first few days of occupancy is normal and still gives you a clean baseline, provided nothing has been altered in the meantime.

Does the tenant have to be present?

No. You can complete it yourself and send it for signature, or invite the tenant to complete the whole thing on their own phone. Both produce the same structured record.

What makes a move in record hold up in a dispute?

Three things: photos tied to a named room and detail rather than a loose gallery, a consistent template used at both ends of the tenancy, and a signature from everyone on the lease.
